How to do things in Ascripto

Last reviewed 19 October 2026

Short recipes, one per task, grouped by the screen they happen on. The left-hand navigation has six places: Home, Signatures, Campaigns, People, Assets, Settings. Your own account lives under your initials at the top right. ⌘K (or Ctrl+K) opens a command palette that jumps anywhere.

The editor and Assets need a screen wider than 900 pixels. Everything else, including the audit, People and deploying, works on a phone.

Signatures

Create a signature

  1. Signatures → New signature.
  2. Give it a name people will recognise in a list: Sales EMEA, Support, Executives.
  3. Pick a door:
    • From the gallery — five designs in your Brand kit, drawn for one of your real people.
    • Import from Gmail — pick a person; Ascripto reads their current Gmail signature, shows it beside what it becomes, lists each value it matched to a directory field, and says what happened to each image. Needs signature access. Google Workspace only.
    • Start from HTML — paste markup or upload an .html file; opens the HTML editor (Business).
    • A copy — of one of your signatures; its design is copied, who gets it is not.
    • Blank — the person’s name from the directory, and you build the rest.
  4. Create and open the editor. The signature is published as version 1 and given to nobody.

Decide who gets which signature

  1. On Signatures, each signature has a rule in words under its name (Department is Sales) and the count of people it reaches now. The list is checked top to bottom; first match wins; the Default is last and fixed, and reaches Everyone else.
  2. Click a signature’s rule to edit it. A rule is one or more lines, all of which must be true:
    • Group is / is not sales@yourcompany.com
    • Org unit is under /Sales (Google Workspace)
    • Department is / is not Sales
    • Location is / is not Berlin
    • Job title contains Director
    • Email domain is yourcompany.de
    • These people are jane@…, tom@…
Only fields your directory supplies are offered (Settings → Fields).
  3. Need or? Make another signature below with the second condition; order resolves the rest.
  4. Use ↑ and ↓ to reorder. A signature nobody matches, or that a higher one shadows, is called out.
  5. A change is saved at once and goes live at the next deploy; the screen says how many people’s signature it would change.

Why does Jane get this one? People → Jane → Why Jane gets “Sales EMEA”: every rule in order with matched, not matched or not reached.

Edit a signature in the block constructor

  1. Signatures → Design on the signature’s row.
  2. Left pane: the blocks, top to bottom (Name and title, Logo, Contact details, Social links, Text, Divider, Space, Badges, Disclaimer, Campaign, Attribution, Custom HTML). Drag to reorder; Add a block underneath.
  3. Click a block on the left or on the canvas; its settings open on the right: arrangement, contents, alignment, Up, Down, Remove.
  4. In any text, type @ to insert a field. For a field that is empty for some people, choose Leave the line out or Show instead; the rail shows how many people have no value.
  5. With nothing selected, the rail shows This signature’s look: font, size and four colours, each The Brand kit’s until you give it its own.
  6. Preview as (bottom right): you, the person with the fullest record, someone with missing fields, or anyone by name.
  7. The meter (bottom left) shows the signature’s size against the limit. Amber is a warning; red blocks publishing and names the image to shrink.
  8. Changes save by themselves (Draft · saved 12:04). ⌘S saves now; ⌘Z / ⇧⌘Z undo and redo the whole document.

Use the HTML editor (Business)

  1. In the editor’s top bar, Edit as HTML…. The rail states the cost first: the blocks become plain HTML and lose their settings, the font and colours are written into the HTML and stop following the Brand kit, and the way back is restoring an earlier version.
  2. Visual edits the document in place (@ still inserts fields); HTML and Plain text are source views; Preview renders it for Preview as. The views stay in sync when you switch.
  3. Insert on the left adds fields, ready-made rows (name and title, contact details, social links, divider, disclaimer, campaign) and library images, each written in email-safe markup.
  4. Style in the rail edits whatever the cursor is on: colour, size, bold, alignment, padding, image width.
  5. The rail also lists what the last save had to remove (scripts, unsafe markup) and why.

An HTML signature on a plan without the HTML editor keeps deploying as it is; it just cannot be edited until the plan has it.

Publish, and what that is not

Deploy

  1. Signatures → Deploy…, or Fix these on a Home cause row, or straight from Publish.
  2. Choose who: the people from that cause row, the people one signature reaches, or everyone the signatures cover.
  3. Leave Rewrite even where current unticked unless somebody edited signatures by hand: each mailbox is read first and left alone if it already carries its signature.
  4. Read the count and the timing, then Deploy to N people. The page shows progress and ends with written, already current, stepped over (suspended, outside your domains, or given no signature) and couldn’t be written.
  5. After the first reviewed deploy, joiners and directory changes are written by themselves. A rule or design change waits for a review like this one.

Google Workspace only: on Microsoft 365 signatures are applied by the relay as mail leaves, so there is nothing to deploy; a published design reaches the relay by itself.

  1. In the editor, on a contact line that is a web link, on each social link, or on a link in a text block, tick Count clicks.
  2. The link then goes through t.ascripto.com with a code per person; the plain-text version keeps the plain address. Clicks appear under Clicks on the signature’s row and in Campaigns → Links.
  3. Mail and phone links cannot be tracked.

Switch on the “Signature by Ascripto” line

Add the Attribution block in the editor. It is off by default, available on paid plans, and never on by itself.

People

Find who is off-brand

  1. Home → click a cause row; People opens already filtered.
  2. Or People → filter by status (active, suspended, removed), by the last check (on-brand, off-brand, each finding, couldn’t be read, not checked), by a field equal to a value, by signature, or by search. Every filter is in the address bar, so a filtered list can be sent to a colleague.

See why someone has the signature they have

People → the person → Details. Three cards: what the last check found (with what the directory expected), Why they get “…” (every rule, in order, with its verdict), and their fields with the directory’s value beside any override. History lists found, checked, written and overridden, newest first.

Override a field for one person

  1. People → the person → Details, find the field, click Override (or Change, if it already has one).
  2. Enter the value (one per line for a field that takes several), or leave it empty to show nothing for this person on purpose.
  3. Save override. The directory cannot overwrite it, and what the directory says stays shown beside it. Clear the override to go back to the directory.

Handle leavers

Nothing to do. Someone removed from your directory moves to a recycle bin and stops being managed: Ascripto never writes to their mailbox again and never clears what is there. They cost nothing. If they are added back within the retention period (7 days by default, changeable in Settings → Connections up to a year), they come back as they were, overrides and history included. People shows how many were removed recently and See who.

Read the directory now

Settings → Connections → Read it now. Otherwise changes arrive by themselves: Google Workspace reports each one as it happens and is read in full every hour; Microsoft 365’s changes are read every minute and the whole directory once a day.

Fields

Settings → Fields lists what a signature can show with @ and a rule can test, in the order the editor offers them.

Assets

Set up the Brand kit

  1. Assets → Brand kit. Six logo slots: horizontal and square, each with a one-colour and a dark-background variant. Upload an SVG or EPS where you have one. The card shows what the file became (size before and after, dimensions).
  2. Font, size and four colours (text, muted, links, dividers). Muted is also the colour of the one-colour social icons.
  3. Company profiles: the address of your company page on each network. The Social links block uses these.
  4. Save the kit. Every signature that follows the kit is brought up to date.

Upload and manage images

Campaigns (Business)

Run a banner campaign

  1. Campaigns → New campaign, give it a name.
  2. Banner: choose one from the library or upload. 600×100 as people see it; an animated GIF keeps moving, up to 200 KB; Outlook on Windows shows only its first frame.
  3. What the banner says, for anyone who can’t see it (alt text).
  4. Where a click goes (optional). UTM parameters are filled in and editable; the final address is shown. Without a link the banner is a picture and only its loads are counted.
  5. Starts and optionally Ends, in your workspace’s time zone (shown on the list, with Change).
  6. Who gets it: the same rule lines as signatures. No lines means everyone the campaigns above it do not take. Campaigns are first match first, one banner at a time.
  7. Save, then Schedule…. The review says who gets the banner from when, and who of them has no campaign slot in their signature and sees nothing. Confirming schedules it.
  8. A warning N people have no campaign slot has a fix beside it: Add a campaign slot to X opens that signature’s editor with the block placed.

While live, Save says it rewrites the mailboxes it changes; End now… removes the banner; Back to draft, Archive and Delete appear where they apply. Links in mail already sent keep working after a campaign ends.

Read the results

A campaign that has started shows Results above its form: Clicks, People reached, Banner loads (estimate), then clicks by security scanners and other software and late clicks, said apart and never added in. A bar a day, then By department, By signature and By person. Campaigns → Links lists every tracked link with 7, 30 and 90 days.

Per-person results

Off by default, because clicks per person can read as monitoring employees and in some countries need a works council’s agreement first. Settings → Results: any administrator can switch them on or off, with a reason that is kept with the change. Switching on shows the last 90 days; switching off deletes every per-person count at once.

Settings

Invite or remove an administrator

Settings → Team. Everyone listed can change signatures, see People and invite or remove administrators; only the owner cannot be removed. Invite an administrator takes a work email at your domains (Google) or in your organisation (Microsoft); the link works seven days and is also shown once to copy. Remove ends their access now and signs them out everywhere; they can be invited again. Account activity underneath lists sign-ins, invitations, removals and security changes, newest first.

Check or redo a permission

Settings → Connections. The directory card says when it was last read, why the last read failed when it did, and Reconnect when it is yours to fix (for example after changing who administers Google Workspace or Microsoft 365). The Gmail signatures card shows whether signature access is allowed, the four steps again, and Check now.

Route mail through Ascripto (Microsoft 365)

Settings → Delivery. Covered step by step in Get started: Microsoft 365.

Search the message log (Microsoft 365)

Settings → Delivery → Message log. Enter a sender, recipient or Message-ID and Search. Each message shows when it entered the relay, whether the signature was inserted (and if not, why), and whether Microsoft accepted it back (sent on, retrying, bounced). The last 10 days are kept. The subject and content of mail are never stored, so they cannot be searched.

Start a trial, choose or change a plan

Settings → Billing (the owner):

Enterprise (a deployment of your own in the Azure region you choose, invoices by bank transfer) and MSP pricing: sales@ascripto.com.

Account & security

Under your initials at the top right → Account & security.

Email address change and account deletion are not self-service yet; write to hello@ascripto.com. Removing an administrator is a workspace decision and lives in Settings → Team.
